Role Overview:

As an Administrative Assistant, you will join the administrative team which provides critical data entry and administrative tasks in support of all Agents and Talent Buyers within the company. Members of the administrative team are key to maintaining the workflow of Artist bookings by executing performance offer entry, contracts, basic accounting, ticket counts and more. To be successful in this role, the candidate must be detail oriented, have experience working in and developing systems, prioritize workflow and be self-motivated. This role offers a unique opportunity to learn about the live entertainment industry and grow alongside a talented team.

Key Responsibilities:

  • Provide administrative support across various teams & departments.
  • Perform data entry & data maintenance tasks using the company’s proprietary software.
  • Organize and maintain the company’s shared digital filing systems ensuring easy retrieval of documents and information.
  • Prepare and format documents and correspondence for contract issuing.
  • Facilitate the collection, maintenance, and reporting of ticket counts and venue availability.
  • Assist on various accounting tasks including processing and tracking of incoming payments, invoicing, expense reporting and artist settlements.
  • Assist with the collection of signed contracts, deposits, and final settlements.
  • Assist with the company’s marketing and social media efforts as assigned by Marketing Associate.
  • Assist in the basic maintenance of the company’s website.
  • Organize and maintain up to date company information across external industry databases.
  • Provide assistance on additional projects as assigned by Management Team.
  • Assist in the general office maintenance and upkeep.
  • Greet clients and visitors, providing assistance and ensuring a positive experience.

Required Qualifications & Skills:

  • Proficiency in French is a plus, but not required.
  • Strong passion for music and the entertainment industry.
  • Excellent oral and written communication skills.
  • Proactive, organized, and able to multitask in a fast-paced environment.
  • Acumen for detail oriented work.
  • Ability to work independently as well as part of a team.
  • Basic understanding of contracts and the booking process in the music industry.
  • Familiarity with social media platforms and online music promotion.
  • Previous experience in the music industry, event planning, administrative or agency work is a plus, but not required.
